Privacy Policy

PingMate is a WhatsApp Business messaging platform operated by Techno Core Logic (“PingMate”, “we”, “us”, or “our”), based in Pune, India. We are the data controller for personal data processed through our own website and accounts, and a data processor for the customer data our business users send and receive through the WhatsApp Business Platform.

Our registered office is The Pentagon, 104, Shahu College Rd, behind Kaka Halwai, Navmaharashtra Society, Parvati Industrial Estate, Swargate, Pune, Maharashtra 411009.

There are two groups of people whose data we handle:

• Business users — the people at a business who sign up for and use PingMate to manage WhatsApp conversations, broadcasts, and automations.
• End customers — the contacts our business users message on WhatsApp. We process this data only on our business users’ behalf and under their instructions.

Account & contact information. Name, email address, phone number, business name, and password (stored hashed) when you create or manage an account.

Messaging data. Messages, media, templates, contact lists, segments, and conversation metadata that pass through the WhatsApp Business Platform when you use PingMate to communicate with your customers.

Billing information. Plan, invoices, and transaction records. Card and payment details are handled directly by our payment processors — we do not store full card numbers.

Device & usage data. App version, device model, operating system, IP address, log data, crash reports, and how you interact with features. On mobile we use a push notification token to deliver alerts.

Cookies & similar technologies. On our website and web app we use essential cookies for authentication and, where permitted, analytics cookies to understand usage. See our Cookie Policy.

• Provide, operate, and maintain the PingMate platform.
• Authenticate you and secure your account, including sending service and security notifications.
• Deliver the messages, broadcasts, and automations you configure.
• Process payments and manage your subscription.
• Provide customer support and respond to your requests.
• Monitor, debug, and improve performance, reliability, and features.
• Detect, prevent, and address fraud, abuse, and security issues.
• Comply with legal obligations.

We do not sell your personal data, and we do not use the content of your customer conversations to build advertising profiles.

Where applicable law (such as the GDPR or India’s DPDP Act) requires a legal basis, we rely on: performance of our contract with you; your consent; our legitimate interests in operating and securing the service; and compliance with legal obligations.

We share data only as described here:

• Meta Platforms, Inc. — as an official WhatsApp Business Solution Provider, messages you send and receive are transmitted through the WhatsApp Business Platform and are subject to Meta’s terms and privacy practices.
• Service providers — cloud hosting, payment processors, analytics, error monitoring, and push-notification delivery (Apple Push Notification service and Firebase Cloud Messaging) that process data on our behalf under contract.
• Legal & safety — when required by law, regulation, legal process, or to protect the rights, property, and safety of PingMate, our users, or the public.
• Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

We keep personal data for as long as your account is active and as needed to provide the service, then retain it only as required to meet legal, accounting, or reporting obligations. Business users can delete contacts and conversations, and you may request deletion of your account at any time (see Your rights).

We use encryption in transit, access controls, and other technical and organizational measures to protect your data. No method of transmission or storage is completely secure, but we work continuously to safeguard the information we hold.

We are based in India and may process data on servers located in other countries. Where we transfer personal data across borders, we take steps to ensure it remains protected in line with this policy and applicable law.

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at privacy@pingmate.app. End customers who wish to exercise rights over data held by a business should contact that business directly; we will assist them as a processor.

You can opt out of marketing WhatsApp messages by replying STOP to the sending business at any time.

PingMate is a business tool and is not directed to children. We do not knowingly collect personal data from anyone under the age of 18. If you believe a child has provided us with personal data, contact us and we will delete it.

We may update this policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you through the app or by email.
